Send leads to your CRM

Push new leads, contacted leads, replies and conversations to HubSpot, Pipedrive, Google Sheets or any app through Zapier or Make, or download them as CSV.

Larvabot finds the leads; your CRM is where you keep working them. You can send leads from Larvabot to HubSpot, Pipedrive, Salesforce, Google Sheets, Airtable, Notion or any other app through Zapier or Make, or download them as a CSV file.

The sync is one way: Larvabot sends, your CRM keeps the record. Changing a lead in your CRM doesn't change it in Larvabot.

#Zapier

  1. Create an API key. Open Settings → Integrations, give the key a name (like "Zapier") and click Create API key. Copy it: it's shown only once.
  2. Add the Larvabot app in Zapier. Use the link on the same page, then make a Zap and pick one of the Larvabot triggers below.
  3. Connect. When Zapier asks for your Larvabot API key, paste the one you copied.
  4. Pick a project (or leave it blank for all of them), then add your CRM as the action and map the fields.

Zapier checks for new items every few minutes; how often depends on your Zapier plan. Larvabot doesn't charge for any of this, but Zapier and your CRM have their own plans and prices.

Keep your pipeline in step

Make one Zap per trigger: New lead creates the contact or deal, Lead contacted and Lead replied move it to the next stage. Find the record by email or website in the action step.

#Make

  1. Create an API key on Settings → Integrations, as above.
  2. Add the Larvabot app in Make with the link on the same page, then start a scenario with one of its modules: Watch New Leads, Watch Contacted Leads, Watch Lead Replies or Watch New Conversations.
  3. Add a connection and paste your API key.
  4. Pick a project (or leave it empty for all), choose where to start, then add your CRM or spreadsheet as the next module and map the fields.

The triggers are the same as on Zapier, and so are the fields below.

#Send leads to Google Sheets

  1. In a new sheet, paste this into row 1 so every column has a header (Zapier and Make only show columns that have one):

    Name, Email, Company, Website, Fit score, Why they fit, Stage, Project, Found at, Open in Larvabot

    Use Data → Split text to columns to spread it across the row.

  2. In Zapier, choose Google Sheets → Create Spreadsheet Row as the action (not Update or Clear, which change rows that already exist). In Make, use Google Sheets → Add a Row.

  3. Pick the sheet and worksheet. Each header now appears as a field: map Name to the lead's Contact name, Email to Contact email, and so on.

Every new lead then lands as a new row.

Conversations include the platform, author, title, url, an excerpt of the post, its relevance and intent, why it fits, the suggested_reply, and when it was posted and found.

#CSV export

Settings → Integrations → Download as CSV gives you every lead or conversation, for all projects or one. The columns are the same as above. The file opens in Excel, Google Sheets or Numbers, and most CRMs can import it.

#API keys

Each key can only read your own projects, and it stops working when you revoke it on Settings → Integrations. Larvabot stores only a fingerprint of the key, so a lost key can't be shown again: revoke it and make a new one. Keys stop syncing while your plan is inactive and start again when it's back.

For developers: the Zapier app uses a small read-only API at https://app.larvabot.com/api/v1 (/leads?event=found|contacted|replied, /conversations, /projects, /me), with the key in an Authorization: Bearer header. Results are newest first, up to 500 per request.
