Troubleshooting

Most problems show up on the Jobs & providers page first, so start there: look for red dots under Recent runs and off or failed quality check badges next to providers. How to read that page

#Nothing is happening at all

Symptom: no leads, no conversations, and nothing new under Recent runs.

• The project is still Waiting for your review. Open its Profile tab and click Approve & start.
• The project is Paused. Click Resume project on the Profile tab.
• No AI or search key is working. The Overview shows a Finish setup banner when a key is missing. Keys you need
• If Recent runs hasn't changed for several hours, something is wrong on our side. Contact support and we'll look into it.

#No leads are found

• No search provider is on. Add a Tavily key, or check its quota in Settings → Free-quota guard.
• The queries are too narrow. Try a query from your campaign in a normal search engine. If it returns nothing useful there, rewrite it. Writing good queries
• Everything is skipped for poor fit. Filter the Leads tab by Skipped. If good pages are being skipped, your profile or the campaign goal may be too specific. Site profile
• There's already a backlog. Discovery pauses while plenty of found leads are waiting for research. Let research catch up.

#No drafts appear

• No AI provider passed its check. On Jobs & providers, click Check next to each AI provider. Quality check
• Leads have no contact. Leads in No contact can't be drafted. Add a contact finder like Prospeo or type the contact in yourself.
• The AI is rate-limited. A 429 in the run details means the free tier is busy. Add a second AI such as Groq so jobs fall back instead of waiting.

#Approved emails aren't sending

Work through these in order:

Then click Send due now. If a send fails, the run log shows the SMTP error.

#Common SMTP errors

#Emails land in spam

• Open the project's Setup tab: all four Email setup check rows should be green. Deliverability
• Don't send from a brand-new domain at full speed. Keep to one or two a day for the first weeks.
• Make sure your drafts are personal. Identical emails to many people look like what they are.

#Replies aren't detected

• IMAP isn't connected, or the password is wrong. Gmail needs an app password, not your normal one. Gmail setup
• Replies go to a different inbox. Replies to hello@yourdomain must reach the inbox Larvabot reads, for example through Cloudflare Email Routing.
• Click Check inbox now on the Review tab to check right away.

#Reddit shows nothing

Reddit blocks many cloud servers. Larvabot has several ways in; add at least one of:

• F5Bot alerts, with IMAP connected and keywords in sync on both sides
• a search key, for site:reddit.com searches
• more search keys, such as Linkup or Exa, so searches don't run dry

Also check Keyword health on the Profile tab. Phrases with no posts in a year will never match.

#F5Bot alerts don't show up

• The keyword on f5bot.com must also be on that project's F5Bot keywords list in Larvabot, spelled the same way.
• F5Bot must send alerts to the inbox Larvabot reads over IMAP.

#Tracking says Not found

• The snippet must be on the page itself, before </head>. Some builders only add custom code on published pages, not previews.
• Check it has this project's data-key. Two projects each have their own key.
• Using a tag manager? The status will say Not in page source once visits arrive. That's fine. Tracking snippet

#Settings says "could not decrypt"

A saved key couldn't be read back. Paste the affected keys again in Settings, and contact support if it keeps happening.

Contact support with the failing run's details from Jobs & providers and what you expected to happen. That usually makes the problem obvious.
